Q. Explain your web file routing platform?
A. Our proprietary web based file routing platform is a 128 bit secure SSL site. You are assigned an individual login ID and password to access the system from any internet enabled windows computer. You can upload files, track status, and download transcripts from the same web interface. The system also provides file archival as well as turnaround time and billing reports. This comes with the transcription service and there are no extra charges for the system usage.

Q. How do I submit my dictations?
A. You will be assigned an individual Login ID and Password to access our web based file routing platform so you can upload digital recorder files. All the files dictated via our toll-free service would be automatically uploaded to our system. Other dictations on minidisks or tapes may be sent to our New York office by mail. We recommend digital audio so that there are no extra conversion or postal charges involved.

Q. How is my dictation processed?
A. When you upload documents, you will be assigned to a group of transcriptionists that will be primarily responsible to see through the completion of your files. You will also work with one of our Client Services Representatives who will ensure your files are progressing and your instructions are being followed. Once a document has been completed, it is available for you to access and download from our system.

Q. How do I receive my transcriptions?
A. You can receive transcriptions back in any format you wish, even in multiple formats. You can of course pick up your transcriptions via our web based system, but apart from that, you can ask for an email copy, a fax copy or a direct printout. There are extra charges for receiving copies other than in our web based system.

Q. Are dictated and transcribed reports available "online"?
A. Recordings can be accessed for up to 2 weeks online. Transcribed reports are available for up to one month at no additional charge. If you would like your recordings or reports to be available beyond the indicated times, we can provide that service for an additional fee.

Q. Can you use my normals?
A.
We will be happy to incorporate any "normals" or canned phrases you may routinely use in your dictation. We would also be happy to comply with any document templates you provide to us.

Q. How do I open the transcriptions I download?
A.
The transcriptions are returned in any format you like, including RTF, Word, TXT, etc. This standard file type can be opened/printed using virtually any word processing program, including Word, Notepad, etc.

Q. Does Intercom provide dictation equipment?
A.
We do not provide dictation equipment, but we can refer you to our trusted partner vendors and help you purchase and install the same.

Q. What is your pricing?
A.
Our pricing is based on certain variables and can be based on a per line or per dictation hour basis. This will depend upon the type of transcription, subject matter, number of speakers, and the formatting you may require. If the pricing is based on a per line of transcription basis, we calculate one billable line for every 65 characters.

Our Transcription rates depend on:

  • Quality of Audio you provide,
  • Number of people speaking in the audio,
  • Turn around time (for normal and urgent files), and
  • Any highly specialized formatting which is beyond normal formatting.

Examples of poor audio quality includes recording noise and flaws like tape hissing noises; a bad microphone; the speaker is too far away from microphone; exterior noise like music, background conversations, outdoor noises, etc.; heavy speaking accents; and people consistently speaking on top of each other in an unstructured meeting; etc. If you are aware of the audio problems your files may have then please describe the issues so we are able to understand the quality of your audio and your specific needs and will quote you a discounted price in advance. If we find out later about problems with your audio, the price to complete the project will be higher than if we were aware of the quality in advance.

We also offer urgent transcripts at a reasonable price. We can turn documents around from as little as 24 hours up to 6 weeks, at your choosing.

Q. Are there any Setup fees?
A.
There may be a setup fee depending on what work we have to do to set up your account and upon the volume. If you have a significant volume which you are committing to we may waive the setup fees as an inducement to gain your business.

Q. Do you provide auto-fax services?
A.
Yes, we offer the Fax Solution, at an additional charge of 12 cents per page.

Q. What payment methods are available?
A.
Payment can be made by either by credit card, check, or wire transfer. Billing is done once per month for established clients, and semi-monthly for new clients for the first two months.

Q. How will I know what I have been billed?
A.
On our web based platform, you will be able to obtain a detailed billing report. You will also receive a detailed invoice, and our Accounting Department is always be willing to answer your queries.

Q. What turnaround times do you offer?
A.
You can choose turn around times from 24 hours up to 6 weeks.

Q. If I do not want a certain part of the audio to be transcribed, then will I be charged for that?
A.
Yes, we will have to charge for such skipped audio because the transcriptionists will spend time in analyzing what portions must be typed or omitted.

Q. What if I want to test your services?
A.We would be pleased to offer you a trial.
